JOB DESCRIPTION:   
                     
Under the supervision of the Executive Services Manager, is responsible for supporting the Chief Financial Officer, Chief of Human Resources Officer and Director of Philanthropy by facilitating the accomplishment of work through the provision and coordination of a variety of tasks and services.  Provides efficient and accurate administrative support to the Chiefs, Managers and Supervisors. Model AAA 1-B core values.         

Responsibilities Include: 
  • Assist various areas with the development or revision forms, letters, reports, presentations, newsletters and other documents as requested and according to agency standards. Prepare meeting agendas and minutes. Maintain and/or revise manuals.  Maintains calendars, as needed.
  • Assist with various large projects as part of the Executive Service Team.
  • Assist the department with the development of procedures and creation of forms as they relate to new initiatives. On occasion, may conduct research or gather data on practices and programs as they relate to new initiatives.
  • Create and enter data into spreadsheets.  Maintain and edit records according to department requirements.  Use spreadsheets to create reports as required. Generate reports and assist with mailings if needed.
  • Other related duties as assigned.
  
QUALIFICATIONS:                

Minimum requirements include:
  • Bachelors (preferred) or an Associates Degree in Secretarial Science, Liberal Arts or related field with 3-5+ years of high level Administrative support and experience working on a variety of projects.
  • Ability to interact with all levels of staff, external stakeholders, and top-level executives.
  • Excellent technology, project and time management, problem solving, and communication skills are required.
  • Strong organizational and multitasking skills, file management, high degree of accuracy, advanced grammar and proofreading skills are required.
  • Ability to generate reports and take copious meeting minutes.
  • Must have highly proficient skills in MS software: Word, Excel, Outlook, Adobe Acrobat, and PowerPoint. Experience using desktop publishing and database software is helpful. Typing 50 wpm+ required.
